This Privacy Policy applies to aiforsmes.ie ("we", "us", "our"), a business consultancy operating in Ireland that provides AI enablement and workflow redesign services to small and medium-sized businesses. Our website is located at https://aiforsmes.ie.

For the purposes of the EU General Data Protection Regulation (GDPR) and the Data Protection Acts 1988–2018, we are the data controller of the personal information collected through this website.

We do not use tracking cookies, analytics platforms, or advertising networks on this website. We do not collect data passively through your visit.

3. Why we collect your data and our legal basis

We use your personal data for the following purposes:

  • To respond to your enquiry — Legal basis: Legitimate interest (Article 6(1)(f) GDPR). It is in both your and our legitimate interest to respond to messages you have sent us.
  • To manage a potential service engagement — Legal basis: Steps taken at your request prior to entering a contract (Article 6(1)(b) GDPR).
  • To comply with legal obligations — Legal basis: Legal obligation (Article 6(1)(c) GDPR), where applicable.

We do not use your data for marketing purposes without your explicit consent.

4. How long we keep your data

We retain personal data only for as long as is necessary to fulfil the purpose for which it was collected, or as required by law:

  • Enquiry and contact data: retained for up to 2 years from the date of last contact, unless a service engagement begins, in which case standard business record-keeping requirements apply.
  • Data associated with an active client engagement: retained for up to 7 years in accordance with Irish tax and accounting obligations.

After the applicable retention period, data is securely deleted or anonymised.

5. Who we share your data with

We do not sell, rent, or trade your personal data. We may share data with:

  • Email service providers used to manage our communications (e.g. Google Workspace), who act as data processors on our behalf and are bound by appropriate data processing agreements.
  • Professional advisors (e.g. accountants or solicitors) where legally required, subject to obligations of confidentiality.
  • Law enforcement or regulatory authorities where we are legally required to disclose information.

Where we share data with processors outside the European Economic Area, we ensure appropriate safeguards are in place (e.g. Standard Contractual Clauses).

As a data subject, you have the following rights:

  • Right of access — you may request a copy of the personal data we hold about you.
  • Right to rectification — you may request that we correct inaccurate or incomplete data.
  • Right to erasure — you may request that we delete your personal data where there is no compelling reason to continue processing it.

  • Right to data portability — where processing is based on consent or contract, you may request your data in a structured, machine-readable format.
  • Right to object — you may object to processing based on legitimate interests.
  • Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
